November 2025 Product Update: Tracks Management and Improved User Table display

Complex, multi-track events can be a challenge to manage efficiently. To help you organize them more easily, we’re introducing Tracks Management.

We also introduced small but useful updates to how committee members are displayed throughout Fourwaves, including for reviewers, paving the way to future enhancements.

Tracks Management

Large events are sometimes organized by tracks. A “track” typically represents a theme or topic (eg. Machine Learning, Molecular Biology) and sometimes even a type of presentation.

Organizers of multi-track events need tools that make it easy to distribute responsibilities across track-specific sub-committees. This helps them delegate work efficiently while ensuring each committee member has the right level of access and only sees the submissions or sessions relevant to their track.

This is the reason why we developed the multi-track system in Fourwaves.

Benefits: Manage large, multi-track events with better control, transparency, and delegation. Each track can have its own reviewers, sessions, and chairs, giving sub-committees autonomy while keeping the overall event structure consistent.

How It Works

Define Tracks For Your Event

  • Create one or more tracks from your event dashboard.
  • Assign each track a name and color for clear identification. This color will color code sessions in your program.
  • See the track chairs, reviewers, sessions, and submissions associated with each track.

Create Sub-Committees with the New "Track Chair" Role

The role is intended for users who will only manage submissions, reviews and sessions of specific tracks. Add them through the "Committee" section of your event and select the tracks they manage. This will give them specific permissions:

  • Submissions. They will only see submissions of their assigned tracks and perform actions like: sending emails, editing submissions, exporting data to Excel.
  • Peer-reviews. They can assign reviewers to their submissions, but only reviewers associated with their track and perform actions like: making decisions, contacting reviewers, editing reviews and exporting the data to Excel.
  • Sessions. They can view all sessions of the program, but can edit those of their own tracks. They cannot edit the session’s date, time, room or video recording (these permissions are for program chairs or event organizers), but they will be able to change the name, description and to add presentations and the order in which they appear in the program.

Submission Form Integration

Once you've defined the tracks at the event level:

  • Add the "Tracks" field in your submission form to let submitters select the most relevant track(s).
  • Specify whether submitters can select one or more tracks.

Define Reviewer Tracks

  • If you use the Peer-Review Module, you can assign reviewers to one or more tracks of expertise.
  • Track chairs will only be able to assign reviewers of their own track.

Program and Schedule

  • Each session in your program can be associated with a track.
  • Sessions with a track are color-coded, helping attendees quickly identify sessions by theme.
  • Participants can filter sessions by track in the schedule for easier navigation.

New User Table Display

Admins, event organizers and reviewers are now displayed in a table allowing new useful information to be displayed for each. This enhancement paves the way for future upgrades, like filters and bulk actions.

Benefit: This allows you to see important information for each user and sort them, for example to find reviewers with the highest workload.

Reviewers Table - Event Dashboard

The table now displays the:

  • Number of assigned reviews
  • Number of completed reviews
  • Associated tracks
  • Review progress (no assignments, not started, in progress or completed)

Reviewer Dashboard

The number of assigned and completed reviews are now displayed, giving more information at a glance.

Conclusion

These updates give you more control over how you manage multi-track events and streamline the reviewer management. With tracks management, you can delegate responsibilities and maintain a clear structure for large programs. The new user table display gives transparency on important data for example in how reviews are distributed and tracked.
